5. AI Functionality and User Data
- When you use the AI features of the Platform (such as chat or personalised guidance tools), we may process the information you provide to generate responses and insights.
- This information may include your interactions, preferences, feedback, Personal Information and Sensitive Information. We only use this data to operate and improve the AI functionality of the Platform and to ensure the responses are accurate and helpful.

This information stays within Australia.
- Some features let you upload documents, such as NDIS plans, invoices, receipts and similar documents, which may contain Personal Information and Sensitive Information. When you do, we use optical character recognition (OCR) and related processing to read the document and extract the information we need, for example plan budgets or invoice amounts. This processing reads the whole document, including any personal or sensitive information it contains. We do not currently redact or remove personal information from a document before it is processed. All document processing happens within Australia and is not sent offshore. Because of this, please only upload documents you are comfortable having processed, and avoid including information you do not want us to read.
6. Browser Extension
- If you use our browser Extension, it only works in parallel with your portal.
- The Extension allows you to copy and paste, manually, those fields with information you have already provided to, or generated within, Hai Helper. It does not read, collect or store any other information or content from the page you are viewing, such as pre-filled values, plan numbers or account balances.
- In relation to the NDIS Portal, the extension only assists you to fill the claim form. It does not automate any submission or claim processing. It cannot guarantee a claim will be accepted.
- The Extension does not collect, store or transmit your NDIA login credentials.
- Where information handled through the Extension is processed by us, it is processed within Australia, consistent with clause 8 of this Policy.
- Information you enter into NDIA forms can indicate the types of supports you receive, and may therefore include or imply Sensitive Information such as health related information. We handle any such information in line with clause 2(b) and only with your consent.
7. Security, access and correction
- We store your Personal Information in a way that reasonably protects it from unauthorised access, misuse, modification or disclosure. We retain your Personal Information for as long as reasonably necessary for the purposes for which it was collected and to meet applicable legal or regulatory obligations, after which we will take reasonable steps to destroy or de-identify it where required by applicable law. - We will not charge you a fee for making a request to access your Personal information. However, we may charge you a reasonable fee for giving you access to your Personal information.
- In some cases, we may refuse to give you access to the information you have requested or only give you access to certain information. If we do this, we will provide you with a written statement setting out our reasons for refusal, except where it would be unreasonable to do so.
- If you believe the Personal Information we hold about you is inaccurate, irrelevant, out of date or incomplete, you can ask us to update or correct it. To do so, please contact us using the contact details listed below.
- If you create an account on the Platform, you are responsible for maintaining the confidentiality of your login credentials. We recommend using a strong password and keeping your account information secure.

Otherwise, we will disclose Personal information to others if you have given us permission, or if the disclosure relates to the main purpose for which we collected the information, and you would reasonably expect us to do so.
- We may also use trusted third-party service providers to host our Platform, store data, process payments, deliver AI functionality, and provide authentication, email and analytics. Our AWS hosting, file storage, OCR and AI processing occur in Australia using Amazon Web Services and Amazon Bedrock in the Sydney (ap-southeast-2) region, and we use Supabase for database services. Some service providers process information overseas, including Clerk and Resend in the United States, Stripe in locations in which it operates globally, and other providers in locations that may vary depending on their operations. Where we disclose Personal Information to overseas recipients, we take reasonable steps in accordance with applicable Australian privacy requirements in relation to that disclosure. We seek to impose appropriate confidentiality and data protection obligations on these providers, having regard to the services they perform and applicable privacy requirements.

- All complaints will be considered by our privacy officer, and we may seek further information from you to clarify your concerns. If we agree that your complaint is well founded, we will, in consultation with you, take appropriate steps to rectify the problem. If you remain dissatisfied with the outcome, you may refer the matter to the Office of the Australian Information Commissioner (OAIC) or, where the complaint concerns Hai Helper’s provision of NDIS supports or services, the NDIS Quality and Safeguards Commission.
